Essential Tips for a Successful Office Relocation

11 January 2016 | The HR Booth Updates

Moving to a bigger and better office space? Make sure you have planned your move down to the very last detail to ensure it goes without a hitch!

Moving to a new, bigger office can be both exciting and stressful at the same time. On one hand, it means that your business is doing well enough for you to upgrade your workspace, on the other, it means that you have got a lot of logistical decisions to make. Here we will provide our top tips for achieving successful office relocation.

Carry Out a Pre-move Audit

Our first tip is to carry out a pre-move audit. Let’s face it – you can never be too prepared for relocating, so a pre-move audit sounds like a sensible idea. Basically, it involves clearly labelling and documenting all of the office equipment you own. We’re not talking pens and sticky notes here, just expensive equipment like desktop PCs, printers, fax machines etc., all of which will need to be safely relocated to your new office. Documenting your expensive office equipment will allow you to keep track of it during the move and ensure it arrives safely at its new location.

Back-up Your Files and Data

Whilst you should be regularly backing up your files and data anyway, it is important to make sure that you have done this before you move to your new office. Backing up your files to cloud storage or another external source will ensure that you still have access to them, even in the unfortunate event that something happens to your equipment.

When relocating PCs, make sure you have hired specially designed crates.

Pack up your office equipment safely

We cannot stress enough how important it is to invest in the right packaging for your office equipment. Not only will you need to wrap everything up in protective bubble wrap, but you should also consider hiring specially designed crates for your desktop computers. Make sure that all of your mice and keyboard wires are carefully wrapped and secured with ties to avoid them getting tangled and damaged during transit. Computer moves need to be handled delicately and with care.

Make sure you are insured

If you are sensible, you will have already insured all of your office equipment, however, it is always a good idea to double check that it is insured during transit. This means that if your office equipment is damaged or lost on the way to its new home, you will be fully compensated.

Call in the experts

Whilst we are sure you and your staff would do an excellent job at relocating your PCs and other office equipment to your new location, you may find it is more cost effective and practical to call in the experts. There are many companies out there that offer desktop PC relocation and other services that will make moving to a new office a whole lot easier.

One of the main benefits of working with a PC relocation company is that it will minimise downtime and allow your staff to carry on doing what you pay them for. PC relocation companies not only pack up your equipment using specialist packing products, but they will also set it all up in your new office, helping you to get back up and running in as little time as possible!

Conclusion

Don’t let stress overshadow your excitement about moving to a bigger and better office. As long as you have planned well in advance, there is no need to stress.
